450 miles apart

Stevie and Mat might be 450 miles apart, but that hasn’t stopped them on their collaborative journey to making research finance easier and more efficient through the utilisation of the EDGE Research Management Programme. So, sit back, grab a coffee and read on to discover more about their voyage to finance made easy.

Stevie, EDGE Database Manager from NHS Lothian and South East Scottish CRN, and Mat Davis, Research Information Manager from University Hospitals Dorset NHS FT, began working together following Mat’s discovery of Stevie’s finance import tool that he found within the EDGE support section. He explained this as ‘a godsend’ and that it was exactly what he wanted to do. Mat soon made contact with Stevie which kicked off their collaboration over emails and phone calls.

Then at the EDGE Conference 2020 they were able to meet in person where Stevie, Super User and regular speaker at the EDGE Conference (and EDGE Advocate of the Year 2019), gave a successful presentation sharing his finance import tool for EDGE. Mat was just one of the many EDGE users at the conference who was interested in Stevie’s finance tools and knew straight away that an automated approach would be much more beneficial and that him and Stevie were both working towards the same goal.

Soon after the EDGE Conference Stevie and Mat took to MS Teams to work together on advancing the finance tools further. They combined their skills and knowledge leading to an updated Cost Template Import Tool, which can convert a standard NIHR Costing Template into full breakdown EDGE cost templates in less than a minute, retaining all the detail of the original template. Doing the same manually takes many hours. Their new Finance Tracker Tool takes a standard EDGE finance report and breaks it down to a granular level of detail using the analysis codes created by the import tool, displaying visit numbers, visit names, procedures and investigations, departments etc. in an easy to read format. Not forgetting, their handy EDGE Assistant Tool, a web browser extension they created to help with the EDGE Finance Process. The EDGE Assistant Tool can quickly fill in multiple dates at once, convert cost template items to income items, helps associate additional/itemised costs with existing visits, and helps identify missed or repeated patient visits.

These innovative tools speed up the research finance process, and assist with invoicing, finance activity tracking, and finance management, including supporting additional departments with finance such as Pharmacy. Stevie and Mat were keen to share their tools with the EDGE community in a recent EDGE Advance webinar, which gained over 120 attendees from across the country.

Following this, the pair are now assisting other members of the EDGE community, helping them get these tools off the ground and in place at their organisations. They have future plans to continue working together to develop further new ideas for utilising EDGE. Not only have the duo created true innovative work they have become great friends and are true examples of what the EDGE Programme is all about: collaboration.

Say hello to our new logo. EDGE 3.

 
 

At the end of last year we announced that we plan to launch EDGE 3, a new version of EDGE (our Clinical Trials Management Progamme) by autumn of this year (ahhh exciting). A new version means a new look and feel of the application which also means a new logo!

Our EDGE 3 logo has already been shared in some past communications but we thought it would be a good idea to shout about it some more and get our users used to the new design and build up some excitement. Oh and because we are pretty damn proud of it. This is also a great opportunity to share with you our plans on our branding so you are kept in the loop as an important EDGE community member (that’s to those of you who are reading this and use EDGE at your organisation).

So, over the years you may have seen a few different logo variations knocking about. Most of you will know of the EDGE logo currently used on the database as well as our EDGE marketing logo used on a lot of our printed/digital media and at our well known EDGE user conference (you know you must remember that giant green spinning EDGE light in the main conference room). That’s the one! Well, to make things a little simpler and more cohesive, we are planning on using the one logo going forward from EDGE 3 launch date, so you will see the EDGE 3 logo on the system itself, our website, and on all branding and marketing materials, and of course at the future EDGE conferences (yep that means a new spinning light, banners, new merchandise, and a new outfit for our furry friend EDGEY, our very popular little hedgehog mascot).

The new EDGE logo was created by our one and only Creative Designer Gela Jenssen who designs all of our unit’s graphic materials, animations and creative pieces. Gela has created a more modern and sleek logo which not only represents the EDGE brand in a stronger, more up to date way, but also ties in nicely with the other service groups we supply here at CIRU. This was something that was very important to ensure we inline each of them together to build on the overall brand of our unit, the CIRU brand. When I asked Gela about her new logo design, she explained how it was about capturing and celebrating the unique qualities and values of the EDGE programme and EDGE team, full quote found below.

Your see we kept the EDGE green for the logo (of course) and plan to use this against a selection of on brand colours. The new logo design is more refined and is an evolution of previous logos, it can scale easily and work better in many more places. We hope you like the new logo, it is still very us, still very EDGE. We look forward to getting this rolled out across our print and digital platforms and of course on the new version of EDGE!

The EDGE programme has always promoted collaborative working through its specially designed features and online working environment. As a team we encourage our community of users to work together and share ideas in order to increase efficiency and remove the duplication of efforts, which can often happen in the world of research administration.

One of the ways we try to keep users up to date with what other users are doing in the hope that this may inspire more learning and an increase of usage of the system is through our monthly newsletter known as Know|edge. The newsletter is emailed to all users who have local administrator access to the system but is also tweeted out through our @EDGEclinical account each month.

The newsletter features a Q&A with a specially selected EDGE Super User who is asked questions by our very own Research & Insight Analyst Dr Ken Beeson-Brackstone, which cover their use of EDGE, their research background and he often throws in the ‘What function of EDGE most resembles you?’ which is always an interesting one!

Through the success of the newsletter and the Q&A we know that our users like to learn and know more about other members of the community and what they are doing at their organisations in relation to EDGE. Our annual EDGE conferences then plays a big part in this, bringing the community together to learn and share ideas. But, as we concentrate on the build of EDGE V3 we are taking some time off from planning the next big event which has left the marketing team thinking of new ideas to keep users engaged and connected with one another.

This has led to some new and exciting communication streams recently launched. The first being the Super User Top Tips where each month an EDGE Super User will share their top 5 tips on a certain EDGE related topic or function to help other users with getting started. The top tips are shared within the Know|edge newsletter, as well as tweeted and also found on our website edgeclinical.com. Each of the top tips have been designed into a poster format which can be shared amongst users or printed for displaying at your organisation.

The next new communication stream is a series of training webinars called Advance, which will star a different Super User each time who will demonstrate areas of the EDGE system in a form of training. We are currently going through a list of topic requests and hope to release more information as soon as possible.

We hope these new ideas are beneficial to our existing EDGE users and look forward to seeing the outcomes!

EDGEY's trip to Canada

EDGE 3CTN users Canada

It’s been a busy September for EDGEY who jetted off with James and Tim from the CIRU EDGE team to see his Canadian friends. EDGEY’s first stop was to Toronto to visit Rebecca Xu, James Schoales  and Steven Sundquist from the Canadian Cancer Clinical Trials Network (3CTN).

At 3CTN they discussed how CIRU and EDGE can help with Patient and Public Involvement and involving researchers from rural populations across the Province of Ontario. James Schoales showed the team some fantastic new and innovative ways to utilise the data from EDGE within Power BI to help better understand publications from research based within the 3CTN network.

From Toronto, EDGEY, James and Tim jetted over to Edmonton and then to the city of Calgary in the Province Alberta to meet with the fantastic team at Alberta Innovates led by Tammy Mah-Fraser. Over the course of three days the team heard about some exciting initiative within the province including from the Alberta Supporting Patient Orientated Research unit (AbSPORu). AbSPORu offer support services for researchers looking for assistance with initiating research, gaining access to support services like data analysis, translating research impact and applying for grants. This data is then transposed to EDGE where the study is worked up to opening in collaboration with Alberta Innovates.

The week was rounded off with James speaking at the Alberta Clinical Health Research Conference about the Future of Clinical Research looking at exciting innovations in AI and machine learning and how these may influence more intelligent use of data in Clinical Trials and Health Care.

It was a very informative week across the Atlantic for EDGEY who has returned to the office enthused with some great ideas and user stories to tell.
